1. Who we are

SubjectMate is an AI tutoring service for Australian students in Years 3 to 12, operated by SubjectMate Australia. If you have questions about this policy, contact us at privacy@subjectmate.com.au.

2. What information we collect

When you create an account we collect:

• Parent or guardian name and email address
• Child's first name, year level, state and territory, and subject
• Child's interests (used to personalise tutoring examples)
• Optional learning preferences (used to adapt how the tutor communicates)
• Payment information processed securely by Stripe. We never see or store your full card details.

During tutoring sessions, your child's questions and the tutor's responses are processed in real time to provide the tutoring service. We retain structured session data to power the parent dashboard and personalise future sessions. This includes the subject studied, date, session length, topics covered, areas of strength, areas for further practice, and understanding level as assessed by the tutor. We do not retain the full text of tutoring conversations. We also store quiz results, badges earned, and any notes a parent leaves for the tutor.

3. How we use your information

We use the information we collect to:

• Provide and personalise the SubjectMate tutoring service
• Send account related emails such as email confirmation and password reset
• Process subscription payments via Stripe
• Improve the service based on usage patterns
• Send weekly progress updates to parents where their child has had an active week
• Power the session memory feature so the tutor can personalise each session based on recent activity
• Track referral credits where a parent has referred another family

We do not use tutoring conversation data to train AI models. We do not use your data for advertising purposes. SubjectMate products are ad-free.

4. Your child's data

SubjectMate accounts are created and managed by parents or guardians. We treat all data related to children with extra care:

• We never sell data about children to third parties
• Tutoring conversations are not used to train any AI model
• We do not display advertising to children within the SubjectMate app
• Parents can request deletion of their child's data at any time by contacting us

5. Who we share data with

We share data only with trusted third party service providers where necessary to operate and deliver SubjectMate. These providers are bound by their own privacy policies and are not permitted to use your data for any purpose other than providing services to us.

These providers fall into categories such as payment processing, secure data storage and hosting, email delivery, and the AI technology that powers the tutoring service. Each only accesses the minimum data needed to perform their function on our behalf and is bound by their own privacy commitments.

We do not sell data to any third party. We do not share data with advertisers.

6. Data storage and security

Your data is stored securely using industry standard encryption both at rest and in transit. All SubjectMate pages and services are served over HTTPS. We take reasonable technical and organisational measures to protect your data from unauthorised access.

7. Data retention

We retain your personal data for as long as your account is active. Session data including topics covered, quiz results, and badges earned is stored permanently to support the parent dashboard and session memory features. If you would like your account and all associated data deleted, contact us at privacy@subjectmate.com.au and we will action your request within 30 days. Anonymised, non-identifying usage data may be retained for service improvement purposes.

8. Your rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Withdraw consent at any time by cancelling your account

9. Cookies

SubjectMate uses cookies and local storage to keep you signed in and to remember your preferences. We use anonymous analytics tools to understand how the website is used so we can improve it. You can disable cookies in your browser settings, though this may affect functionality.

We may update this policy from time to time. We will always let you know about significant changes by email, and your continued use of SubjectMate after that point means you are happy with the updated policy.
